Preparing your data for migration

Your first step in preparing to migrate your data into Barracuda is to simply get your data into CSV form. The exact process for obtaining said data in the correct format will depend on *where* you’re pulling the data from.

Format your data for easy upload

Once you have obtained your data in CSV format, your next step is to get it arranged and formatted so that we can easily upload it all in one swift go! This is definitely the most complicated part of the process, so please don’t hesitate to reach out to us for help!

Step 1: Sign in to your Barracuda workspace and set your *****Custom Fields*****

  • Go to barracuda.io and click the “Sign In” link in the top right corner.
  • Once you sign in and navigate to your dashboard, click “Settings” in the bottom left corner.
  • In the lefthand sidebar of the Organization Settings modal, you’ll see a “Collections” section with links to “Opportunities,” “Contacts,” and “Organizations.” Clicking in to these will allow you to add custom fields for each piece of data.
  • Create any desired custom fields
    • *Note: You will need the field’s username (e.g. the lowercase “example”) for uploading any data to this field.
  • Once you’ve set all of your desired custom fields, move on to Step 2.

Step 2: Format your data for upload

  • Now that you’ve set up any desired custom fields, you’re ready to format your data for upload.
  • Open the linked Bulk Import CSV Template and MAKE A COPY. Please title it with your organization’s name + Bulk Import CSV Template
  • Import and arrange your data according to the columns and example data structured within.
  • A few notes:
    • Custom fields should be added as column headings in the associated Collection sheet (e.g. Orgs, Contacts, or Opportunities) using the field’s username mentioned above.
    • For select and multi-select fields, simply type in the desired tags exactly as input into Barracuda. For multiple tags use a comma to separate without a space. (e.g. “option 1,option 2,option 3”)
    • For Owners, please simply type the Name of the teammate who will own the opportunity/org/contact. We will replace it with the associated ID.
    • For Pipelines & Stages, please simply type the Name of the correct pipeline & stage. We will replace it with the associated ID.
      • For example, if I wanted to add an opportunity to the “Assigned Owner” stage of the “Cuda CRM Sales 🐟” pipeline, I’d input “Assigned Owner” into the stage column and “Cuda CRM Sales 🐟” into the pipeline column.
    • For associating contacts and organizations with opportunities, please add the desired contact and/or organization name in the Contact & Organization columns (they’re highlighted orange). We will then be able to associate the correct Contacts & Organization IDs.
    • Twitter & Telegram data can be input as a URL (e.g. https://twitter.com/nateelliott or t.me/sodacowboy), a username with an @ (e.g. @nateelliott), or without an @ (e.g. nateelliott).
    • Feel free to leave the createdAt and updatedAt fields empty, if you don’t need/want to indicate previous dates.

Step 3: Notify the Barracuda team that your data is ready for upload

  • Reach out to Nate or Sam and let them know that your data is ready.
  • They’ll review your data and upload it within 48 hours (typically much less).
  • They’ll notify you once your data is uploaded.
